Top Email Extractor Tools to Target the Right People
On this page
An email extractor saves you from the worst job in outbound, which is copying addresses one tab at a time. Point it at a website, a LinkedIn profile, a Google Maps search or a B2B database and it returns the email, often verified, ready to export.
The category has changed a lot since this guide first ran in 2024. Saleshandy's Lead Finder is no longer free, HubSpot shut down Clearbit Connect in April 2025, Overloop turned itself into an AI prospecting agent, and nearly every price on the old list moved.
This version compares 15 email extractor tools with pricing pulled from each vendor's live page in September 2026, grouped by where they extract from.
TL;DR, the 15 best email extractor tools
What is an email extractor?
An email extractor is software that finds and collects email addresses automatically, from websites, LinkedIn profiles, map listings, documents or a contact database. It replaces manual copy and paste, and the better tools verify each address before you export it.
There are four kinds, and most tools on this list combine two of them.
- Database finders. You enter a name, a company or a set of filters, and the tool returns matching contacts from its own index. Hunter.io, Snov.io, GetProspect and the SmartReach.io lead finder work this way.
- Browser extensions. They read the LinkedIn, Sales Navigator or company page you're viewing and reveal the email behind it. Examples are ProspectDaddy, Kaspr, Skrapp.io and Wiza.
- Web scrapers. You give them URLs or a search, and they crawl the pages and pull out every address they find. Octoparse, igleads.io and Apify's actors belong here.
- Desktop software. Programs you install that search engines and sites from your own machine. Atomic Email Hunter is the long-running example.
Extraction is only half the job. An unverified list is how domains get burned, so read our guide to the best email verification tools before your first send.
What is the difference between an email extractor and an email scraper
Most vendors use the two names for the same job. Where they do pull apart, it's on where the addresses come from.
An email scraper crawls pages and pulls out every address it finds, usually from contact pages, team pages, directories and Google Maps listings. It returns raw text, so you get generic inboxes like info@ and support@ mixed in with the real ones, and nothing is verified. Octoparse, igleads.io and Atomic Email Hunter work this way.
An email extractor more often means a database or extension lookup. You name a person or a company, and the tool returns the address matched to them. Hunter.io, Snov.io, GetProspect and Kaspr sit here.
For cold outreach the difference matters more than the label does. SmartReach.io is a cold email software with a 300M+ contact lead finder across 50M+ companies, and it verifies every address free before a campaign sends, so a scraped list can't quietly burn your sending domain. Scraping still wins when the addresses exist nowhere else, like local directories or niche trade listings.
When email scraping tools are worth the risk
Scraped lists carry three costs that a database lookup doesn't. Bounce rates run higher because nothing is verified. Generic inboxes pad the list without adding a prospect. And a site's terms of service may forbid it, which is still an open question after the 2022 hiQ Labs ruling on LinkedIn's user agreement.
I'd scrape only when the data exists nowhere else. Keep batches small, verify before sending, and write down your lawful basis for holding the contacts.

- 4.6/5 ★
- Capterra
- 4.7/5 ★
- From
- $29/mo, lead finder credits from $89/mo
- Free trial
- 14 days, no card
- Best for
- sales teams that extract contacts to send cold outreach and don't want to pay a finder, a verifier and a sender separately
SmartReach.io is a cold email software with its own contact data built in. Its B2B lead finder searches 300M+ contacts across 50M+ companies, the ProspectDaddy extension pulls business emails from LinkedIn, and on the Sales Engagement plans those contacts go straight into email, LinkedIn, calls and WhatsApp steps. It's rated 4.6 on G2 from 60 reviews and 4.7 on Capterra as of September 2026.
You search the lead finder by stacking filters such as job title, industry, company size, location, revenue and tech stack. Results come back with name, title, company, email and phone, and you import selected rows into a campaign instead of exporting a CSV and uploading it somewhere else.
ProspectDaddy, SmartReach.io's prospect finder Chrome extension, covers LinkedIn. It reads a LinkedIn or LinkedIn Sales Navigator profile, returns the verified business email, and sends the lead to a SmartReach.io campaign or your CRM. The LinkedIn email finder page shows the workflow.

Stack filters, select the rows you want, and push them straight into a campaign.
Core capabilities
- Lead finder. 300M+ contacts and 50M+ companies, searchable by title, industry, size, location, revenue and technology.
- ProspectDaddy for LinkedIn. Reveal business emails from LinkedIn and Sales Navigator profiles and export them as a CSV or into a campaign.
- Free email verification on every plan. Every prospect is validated before an email goes out, so there's no separate verifier credit pool.
- Sending built in. Multi-step sequences with inbox rotation, warmup, ESP matching and deliverability tooling.
- Multichannel steps. On Sales Engagement plans, one cadence can combine email, LinkedIn steps, calls through the built-in dialer and WhatsApp.
- CRM sync. Native two-way sync with HubSpot, Salesforce, Pipedrive and Zoho, plus Zapier for 8,000+ apps. The full list is on the integrations page.
Pros
- Extraction, verification and sending on one bill.
- Verification is free and unlimited, which is the hidden second cost with most finders.
- No per-seat pricing, so adding reps doesn't move the invoice on plans above Basic.
- The same contacts can be worked by email, LinkedIn, calls and WhatsApp.
- 14-day free trial with no credit card.
Cons
- Lead finder and ProspectDaddy reveals use SmartReach credits, which start on the Plus plans, not on the $29 and $39 Basic plans.
- If you only want a lookup tool, you pay for a sending engine you won't use. Clearout is cheaper for that job.
- No free forever plan.
- Database coverage is strongest in the US and Western Europe.
Pricing of SmartReach.io
No per-seat pricing. Plans scale by active prospects, and every plan above Basic includes unlimited users and unlimited sending email accounts. Credits power the lead finder, ProspectDaddy and AI features.

Octoparse is a no-code web scraper rather than a dedicated email finder, and that's exactly why it's here. When the emails you want sit on an industry directory, an event exhibitor list or a membership site that no database indexes, Octoparse clicks through the pages and pulls them out.
You build a task with a point-and-click interface or start from a prebuilt template, and its AI auto-detect suggests the fields to extract. Tasks run on your computer on the free plan, or in the cloud on paid plans.

- Raw results need deduplication and verification.
- Costs depend on crawl depth, so budget with a test run.

How to choose an email extractor
Choose by the source of your prospects first and the price second. A cheap tool that can't see where your buyers are listed costs more in wasted time than any subscription.
- Source coverage. B2B decision makers point to a database or LinkedIn tool. Local and social-first businesses point to igleads.io or a crawler.
- Verification. Check whether verification is included, charged as a credit, or not offered. It's the hidden second bill on most finders.
- Credit math. Work out the cost of one verified contact, not one credit. Hunter.io uses 1.5 credits per verified contact and Snov.io uses 2.
- Pricing unit. Per-user tools (Kaspr, Wiza, Dripify) grow with headcount. Flat or prospect-based pricing doesn't.
- Filters and targeting. Title, seniority, industry, size and location filters decide how much cleanup you do after extraction.
- Exports and integrations. Look for CSV exports plus a native sync with your CRM and outreach tool.
- Data privacy. Look for GDPR and CCPA commitments and a way to process opt-out requests.
- What happens next. If you'll email the list, a tool that extracts, verifies and sends, such as SmartReach.io, removes two hand-offs.

How to use an email extractor, step by step
The workflow is the same whichever tool you choose. Define the audience, extract, verify, organize, then send.
- Define your target audience. Write down the industry, company size, job titles, seniority and location before you open a tool. A tight ideal customer profile keeps the list small and relevant.
- Choose the extraction method. For LinkedIn, install an extension such as ProspectDaddy or Kaspr, run a Sales Navigator search and reveal the profiles that match. For websites, enter company domains into Hunter.io or Snov.io, or give a URL list to Octoparse or Apify. For bulk jobs, prepare a CSV of domains or names and run it in batches.
- Verify every address. Remove invalid, risky and generic inboxes such as info@ and support@. Aim to keep hard bounces under 2%, because a higher rate hurts sender reputation fast. See how to reduce your email bounce rate.
- Organize the data. Deduplicate against your CRM, tag each contact by source, and segment by industry, role and company size so your messaging matches.
- Import and send. Map fields into your CRM or outreach tool, build a sequence, and start with small daily volumes on warmed-up inboxes. Our guide to building sales lead lists covers the organizing step in more detail.
Common email extraction problems and how to fix them
Most extraction problems come down to the wrong source, no verification, or scraping too fast.
The tool finds very few emails
The company may have little public footprint, or the site blocks crawlers. Try a tool with a different data source, look at contact, team and press pages manually, or switch from a crawler to a database finder that matches emails to names.
Too many emails bounce
If more than a few percent bounce, you're sending unverified or stale data. Verify every list right before sending, drop generic role inboxes, and remove contacts whose company domain has changed.
Websites block your scraper
Slow the crawl down, extract in smaller batches, and use residential proxies for large jobs. If a site's terms of service forbid scraping, stop and find the data elsewhere.
The emails don't match your audience
Tighten the filters, extract by role instead of by company, and cross-check a sample against LinkedIn profiles before you import the whole list.
How an email extractor helps your outreach
An email extractor turns hours of manual research into minutes and gives you a cleaner, better-targeted list.
- It saves time. Collecting hundreds of addresses by hand takes days. An extractor does it in one run.
- It improves targeting. Filters by title, industry and location put your message in front of the people most likely to buy.
- It improves accuracy. Tools that verify at extraction catch typos and dead inboxes before they reach your campaign.
- It covers more sources. Web scrapers like the Octoparse Twitter scraper pull contacts from platforms that databases don't index.
- It connects to your workflow. Exports and integrations move the list into your CRM or outreach tool without retyping.
ROI of email extractors
The return from an email extractor is the revenue from the deals its contacts produce, minus what the tool and the time cost. The formula is simple.
ROI = (revenue from extracted leads − tool cost) ÷ tool cost
Three factors move the result more than the tool's price.
- Verified cost per contact. A cheap credit that needs a paid verification step can cost more than a pricier verified one.
- List quality. A small list of the right titles beats a large list of generic inboxes.
- Deliverability. Leads that land in spam earn nothing, so warmup and list hygiene protect the return.
If building lists yourself is too slow, compare the costs in our guide on how to buy leads.
Email extraction legal compliance checklist
Extracting public business emails is legal in most places, but using them for outreach is regulated. This checklist covers the rules B2B teams hit most often. It isn't legal advice, so check with counsel for your markets.
GDPR (contacts in the EU and UK)
- Document a lawful basis. B2B cold outreach usually relies on legitimate interest, backed by a written legitimate interest assessment.
- Tell people where you got their data within one month of collecting it, usually in your first email.
- Give a clear opt-out in every message and honor it.
- Delete data on request and don't keep contacts you no longer need.
- Check local rules. Some countries, such as Germany, require prior consent for most marketing email.
CAN-SPAM (contacts in the US)
- Use accurate "From" details and non-deceptive subject lines.
- Include a valid physical postal address.
- Provide an easy unsubscribe and honor it within 10 business days.
CASL (contacts in Canada)
- Canada generally requires consent. Implied consent can apply when a business address is conspicuously published and your message relates to the person's role.
Scraping and data protection best practices
- Extract only from public sources, and respect robots.txt and each site's terms of service.
- Don't scrape behind a login. LinkedIn's user agreement prohibits scraping, and in 2022 a US court found that hiQ Labs breached it.
- Store extracted data securely and limit who can access it.
- Keep a record of where each contact came from.
Dos and don'ts of using an email extractor
Use extractors to find the right people, not the most people. These rules keep your domain and your reputation safe.
Do
- Check the laws that apply to each market before you extract.
- Target named decision makers from relevant sources.
- Verify every email before sending.
- Include an opt-out in every message and honor it.
- Monitor bounces and spam complaints after each send.
Don't
- Blast large unsolicited lists, which gets domains blocklisted.
- Ignore a website's terms of service or privacy policy.
- Use personal email addresses for B2B outreach without permission.
- Leave extracted data in unsecured spreadsheets.
- Keep emailing contacts who haven't engaged after a full sequence.
The key takeaway on email extractors
The best email extractor is the one that can see where your buyers are listed. Hunter.io and Snov.io cover company domains, Kaspr, Skrapp.io and Wiza cover LinkedIn, and Octoparse, igleads.io and Apify cover websites, social media and maps.
Whichever you choose, extraction is the start of the job. Verify every address, keep your targeting tight, and follow GDPR and CAN-SPAM so the list helps your domain instead of getting it blacklisted.
If you extract contacts to email or call them, SmartReach.io removes the hand-offs. It's a cold email software with a 300M+ contact lead finder, free verification on every plan, and Sales Engagement plans that work each contact through email, LinkedIn, calls and WhatsApp. It also works as a sales engagement platform for teams replacing several tools at once.
Email extractor FAQs
What is the best free email extractor?
Hunter.io is the most generous free email extractor for domain searches, with 50 credits a month. Clearout gives 100 lifetime credits, Skrapp.io gives 50, and Octoparse has a free plan for scraping emails off any website. SmartReach.io has no free plan but gives a 14-day free trial with no card, and it verifies every email for free before a campaign sends.
Which is the best email extractor tool for sales teams?
SmartReach.io is the best email extractor for sales teams that also send. It's a cold email software with a 300M+ contact lead finder and the ProspectDaddy LinkedIn extension, and it verifies every address free before sending. Hunter.io is better for domain research alone, and Kaspr is better for pulling phone numbers off LinkedIn profiles.
What is an email extractor?
An email extractor is software that collects email addresses automatically from websites, LinkedIn profiles, Google Maps listings, documents or a B2B contact database. It replaces copying addresses by hand. SmartReach.io, for example, searches a 300M+ contact database and verifies each email before it goes into a cold email campaign.
Are email extractors legal?
Email extractors are legal to use, but what you do with the data is regulated. GDPR, CAN-SPAM, CASL and a website's terms of service all apply, and LinkedIn's user agreement prohibits scraping. Extract only business contacts from public sources, keep a record of your legal basis, and honor opt-outs. Tools like SmartReach.io, which pulls contacts from a 300M+ lead database, let you add an unsubscribe link to every campaign email so opt-outs are handled automatically.
How can I extract emails from a website?
Enter the company domain into a domain search tool such as Hunter.io or Snov.io, or give a list of URLs to a crawler such as Octoparse or Apify's Contact Details Scraper. Verify the results before sending. SmartReach.io validates every prospect's email free of charge before a campaign goes out, on every plan from $29 a month, which keeps bounces from damaging your sending domain.
What is an email scraper?
An email scraper is a type of email extractor that crawls web pages and pulls out any address it finds, usually from contact pages, team pages and directories. Scrapers return raw, unverified results. Database-backed tools return addresses matched to a named person and company instead. SmartReach.io, for example, searches 300M+ contacts across 50M+ companies, which is usually more useful for B2B sales outreach.
Is email scraping effective?
Email scraping works for building local or niche lists fast, but raw scraped lists often carry generic inboxes and invalid addresses. The effective version targets named decision makers, verifies every email and sends in small batches. SmartReach.io verifies each prospect for free before sending and rotates sends across connected inboxes, so a scraped list doesn't burn the domain. Its 14-day free trial is enough to test one list.
Is data scraping illegal?
Scraping publicly available data isn't illegal in itself, but breaking a site's terms of service, bypassing a login or collecting personal data without a lawful basis can be. In 2022 a US court found that hiQ Labs breached LinkedIn's user agreement by scraping. Business teams that use a database such as SmartReach.io's 300M+ contact lead finder reduce the need to scrape at all, but should still document their legitimate interest.
