Usage and Anti-Spam policy

At SmartReach, our primary goal is to help our users grow their businesses by helping them run successful outreach campaigns. For this, we provide built-in tools like Spam Test Reports, Advanced Email Verification and Campaign Soft-Start to all our users. In lieu, we expect our users to run high quality email campaigns and reach out to relevant prospects, and avoid abusing the tool for spamming.

By using SmartReach, you agree to this Usage Policy and acknowledge that the rules mentioned below are mandatory and must be followed. Please read them carefully. We reserve the right to suspend your account if any of these is violated.

If you are new to email outreach or have any doubt regarding the following rules, contact our team and we will help you out.

1. Valid and Relevant Emails

There is a high risk of Spam Complaints or Bounces if you are sending emails to irrelevant prospects, or sending to non-existent and outdated email addresses. Our built-in Email Verification checks each email address before sending them an email, and this step catches upto 80% of non-existent emails in your list. However, if you are sending emails to generic email addresses like @gmail.com, @hotmail.com, @yahoo.com, @outlook.com etc. then its not possible to verify those emails and you must be very diligent while sending emails to those prospects.

2. Low Bounce Rate

A high bounce rate triggers spam filters, affects your email and domain reputation, as well as our IP reputation. When sending emails via SmartReach, ensure your bounce rate does not go above 15% on any given day.

3. Email Formatting

SmartReach helps you automate sending emails and follow-ups to your prospective customers and partners, so that you can spend more time converting interested prospects. You should keep your emails crisp, clear and plain, as if you were sending them manually. Avoid using big images, flashy templates or large attachments as those do not look authentic.

4. Open and Reply Rates

If you are sending relevant campaigns to relevant prospects, your open and reply rates should be high. Ensure open rate is more than 20% and reply rate is more than 5% for any campaign.

5. CAN-SPAM Act Compliance

You should familiarize yourself with the CAN-SPAM Act and any related regulation in your country. Ensure your emails comply with these regulations.

Always have an opt-out link or an opt-out message in your emails.

6. Do not send from Generic Emails

Use your own business email address to send campaigns. Avoid sending from generic email addresses like @gmail.com, @hotmail.com, @yahoo.com, @outlook.com etc. Avoid sending from email addresses with generic usernames like team@, info@, founders@, sales@, support@ etc.

7. Spam Complaints

We take spam complaints very seriously as it affects our IP reputation and puts our servers at risk. If we receive repetitive Spam Complaints from your campaigns, we reserve the right to suspend your account immediately.

This issue is usually caused if you are sending to irrelevant prospects or non-existent emails.

8. Namespace mining

Guessing email addresses of prospects is a strict No as it goes against the terms of usage of email services that you integrate with and affects email deliverability.

We strongly discourage our users from indulging in this practice.

9. Prohibited Content

We prohibit the transmission of emails containing content that is harmful or damaging to our servers or systems. This includes, but is not limited to:

  • Malware and Viruses: Any content or attachments that contain malware, viruses, or other malicious code designed to harm or disrupt computer systems.
  • Spam Triggering Keywords: Certain words and phrases can trigger spam filters, leading to reduced email deliverability for your campaigns. Please avoid using any language or content commonly associated with spam emails.
We have introduced an AI-powered solution to monitor, track, and identify all campaigns for such prohibited content. Your campaign will be automatically blocked by our systems on such identification. Such a blocked campaign status cannot be revoked

10. Blacklisted Domains

We have implemented a robust blacklist filtering system to prevent the sending of emails from domains that are part of specific blacklists. In case a user attempts to send emails from domains listed on the blacklists, the campaign will be automatically blocked.

11. Consequences of Policy Violations

If you are found to be violating any of the above, your account will be suspended with immediate effect. In policy violation cases your subscription amount would be non-refundable

We understand that email deliverability is crucial for successful email campaigns. By adhering to our Usage and Anti-Spam Policy, you can ensure that your emails reach their intended recipients and achieve the best possible results.
